Legal Basis

1. Purpose and Scope of Information Collection
When you register an account, enrol in a course/service, make a payment, or contact us for consultation on the website, we may collect the following information:
- Identity information: full name, date of birth, gender.
- Contact information: phone number, email, address.
- Learning account information: username, learning history on the LMS system;
- Health information voluntarily declared by you (applicable to courses/services) in order to design a suitable learning pathway and ensure safe practice;
- Transaction information: course enrolment history, payment documents (excluding bank card numbers).
Collection takes place when you: register an account, complete a course enrolment/consultation form, make a payment or contact our customer care team.
2. Purposes of use of information
- Providing training services, activating learning accounts, class placement, and organising offline sessions;
- Personalising learning and practice pathways based on self-declared health status;
- Confirming enrolment orders, processing payments, and issuing invoices and documents;
- Customer care, class schedule notifications, schedule changes, and system updates;
- Sending promotional information and new programmes with your consent (you may opt out at any time);
- Fulfilling obligations at the request of competent state authorities.
3. Information retention period
Personal information is retained throughout the period of service provision and for at least the minimum period required by law. Upon a valid deletion request, we will delete/destroy the relevant information within 07 working days, except where retention is required by law.
4. Parties who may access the information
- Company personnel granted access rights to serve training operations, customer care, and accounting;
- Payment gateway partners (VNPay, OnePay/Napas, international card processors) - only to the extent necessary to process transactions;
- Delivery partners (in cases where printed books/learning materials are shipped);
- Competent state authorities upon written request in accordance with the law.
We are committed to never selling, leasing, or exchanging your personal information with any third party for commercial purposes.

6. Means and tools for users to access and edit their data
You have the right to check, update, and correct your personal information by logging into your account on the learning system, or by sending a request via email: tech@khitamtherapy.com or hotline: (+84) 349 635 168. We process correction/deletion requests within 07 working days.
7. Customer information security commitments
- The website uses the SSL security protocol; data is stored on systems with access-based permissions;
- We do not store customers’ bank card numbers; all card transactions are processed by payment gateways certified to the international PCI DSS security standard;
- In the event of a server attack resulting in a risk of data loss, the Company will notify customers and cooperate with the authorities to resolve the matter promptly;
- Personnel who violate security regulations will be handled under internal rules and the provisions of law.
8. Mechanism for receiving and resolving complaints related to personal information
If you discover that your personal information has been used for the wrong purpose or beyond the stated scope, please send a complaint to tech@khitamtherapy.com or call (+84) 349 635 168. We will verify and respond within 07 working days, and no later than 15 days for complex cases. Details are set out in the document “Procedure for Receiving and Resolving Feedback, Requests and Complaints” published on the website.
This policy takes effect from the date of publication on the website and may be updated or amended to reflect actual operations and legal requirements.
